If you want to migrate your email accounts and all email messages from another webhost to us, then please follow the instructions below. In this article I will use a Microsoft Outlook email client to explain the entire process.
1. Setup your email accounts on SuperiorASP.NET server
Login your SuperiorASP.NET hosting control panel and create all email accounts you want to move to us. Let's say that you have email accounts sales@example.com and support@example.com with your old hosting provider, then you'll need to create sales@example.com and support@example.com on our mail server.
2. Setup your email accounts in Outlook
Now, you need to setup two IMAP accounts for each email address in outlook. For convenience of explaining the concepts, I will take a single email address sales@example.com for example. You'll need to setup one IMAP account for sales@example.com on the old(source) mail server and also setup another IMAP account for sales@example.com on the new SuperiorASP.NET(destination) mail server. Keep the following account configuration parameters handy - email account password, incoming and outgoing mail server addresses(IP or Hostname) and corresponding ports of both the old and the new mail servers.
Open outlook on your computer, and click the Tools menu and select Account Settings, on the E-mail tab, click New and then go through all the steps to finsh IMAP accounts setup. Make sure you select IMAP as the Account Type under Server Informaion.
3. Move Emails folder by folder
The moment your setup for the two IMAP accounts of sales@example.com is complete, you will see their mail folders appear in your outlook. Now, you can simply drag and drop the emails from one inbox folder to another.
Select a folder on the source mail box. All the emails in that folder will show up in outlook's right panel. Drag-and-drop mails (a few at a time) to corresponding folder in the new destination mail box. If that folder does not exist in the new mail box, create the same folder using standard outlook features. Note that custom folders created by you in the old mail box will not exist in the new mail box.
It is important that you handle a few emails at a time. Trying to move too many emails at the same time may crash outlook. After each drag-drop operation, wait for some time for outlook to download the mails from old server to the local disk and then push them from local disk to the new server. The amount of waiting would depend largely upon the speed of your internet connection.
If you have several email addresses and lots of emails in each, be prepared to spend some time in a relaxed mode as this is a tedious process and takes time. Once you have moved all emails from all folders on the old mail box, you are almost done.
4. Point your domain's MX and A records to SuperiorASP.NET mail server
Now, you'll need to point your domain to SuperiorASP.NET mail server by changing the domain's MX record and A record, or else your email hosting will work with us. If you host both your website and email with us, then instead of changing MX and A records, you can simply change your domain's name servers to ours.
The moment you change the MX and A records or name servers of your domain, the DNS change starts propagating across the Internet. Full DNS propagation takes up to 3 days. During this period, in some networks your domain will point to the new server while in other networks it will point to the old server. Thus while the DNS transition is taking place, some mails will be received in the new server while others will be received in the old server. So you must retain your old email accounts for at least 3 days and you must repeat the step 3. Move Emails folder by folder after 3 days. Thereafter, you can safely delete your old email accounts on the old server.
